The Biology Department is searching for a Senior Administrative Assistant I to join their team. This is a regular three-quarter time or full-time position and is eligible for benefits.
This position requires strong interpersonal, written, verbal and organizational skills, as well as a broad range of software skills. You must have the ability to exercise discretion, good judgment, be self motivated, highly-organized, possess a strong work ethic and be able to take initiative to perform complex administrative duties to support activities and functions of the Biology Department. Emphasis will be on research proposal and budget preparation, where one must respond quickly and thoughtfully to the requests of multiple scientists.
Ability to perform well under deadlines, to switch tasks while maintaining accuracy with details and to navigate successfully through high-volume work is needed. Duties may include supporting principal investigators in the preparation and submission of grant proposals, coordinating department seminars, logistics, publicity, and speaker arrangements. Assisting with manuscripts, reports, correspondence and poster preparation, developing and maintaining department websites, developing expertise in relevant software, coordinating events, making travel arrangements, serving as Committee Administrator, recording meeting notes, maintaining department records, creating databases, spreadsheets, troubleshooting office equipment, conference call equipment, maintaining office supply inventory and assisting the Department Administrator, Chair and staff as needed.
Previous experience with grant proposal preparation and budget preparation is a plus.
Proficient with Adobe Acrobat, Microsoft Word, Excel is required. FileMaker Pro, Photoshop, web development skills and EndNote are a plus.
Physical duties for this position include but are not limited to carrying up to 10 lbs independently, visual abilities to include depth perception, ability to adjust vision to bring objects into focus, ability to distinguish basic colors, hearing ability to include ability to communicate via phone and in person. This is a mostly sedentary position with occasional walking/standing, manual dexterity/mobility, use of hands for fine/basic grasping/manipulation, occasional stooping, bending, kneeling, reaching and crouching. Physical duties are subject to change.
Bachelor's Degree including coursework in Biology or Chemistry is strongly preferred.
