Division Administrator
Job Responsibilities:  
  • Provide day-to-day administrative support to the VP of Worldwide Customer Services and staff in the Advanced Technology Services group.
  • Schedule appointments and maintain appointment calendar.
  • Maintain regular communication with the VP, especially during peak travel times.
  • Highlight important correspondence that needs responses, deliver messages, reminders, etc.
  • Handle correspondence both internally and externally including letters, memos, etc.
  • Participate in meetings and conference calls as required, taking notes and preparing a summary of the commitments and activities reported.
  • Maintain files of correspondence and other records.
  • Make travel arrangements as requested by ATS staff.
  • Plan and coordinate internal meetings for the division, and as requested by staff.
  • Answer ATS Hotline, become familiar with areas of expertise of key ATS group members, and be able to route calls to appropriate support resources in critical situations.
  • Maintain attendance for the group.
  • Handle purchase orders and any necessary follow-up.
  • Distribute faxes and mail on a daily basis.
  • Assist in coordinating internal training as needed, including course preparation program support, registrations, course material preparation, certification, and any other tasks to support training efforts in the division.
  • Be available to assist in any office function or project or task that is requested.

  • Ability to interface with customers, all levels of management and staff.
