Hours are 9-6pm (Monday only) and 10-7pm remainder of week. Roster is a two week rolling roster. Week one is Monday, Tuesday, Saturday and Sunday and Week two is Wednesday, Thursday and Friday.
We are now looking for a Receptionist to join the team in Kilbarry Care Centre on a permanent basis.
As Receptionist, you will be the
first point of contact for our centre. The Receptionist will
offer administrative support across the organization, as well as
welcoming and greeting people who visit the Care Centre. The Receptionist will also
coordinate front-desk activities, including distributing correspondence and redirecting phone calls.
Multitasking skills are essential for this position. You should be able to deal with multiple priorities in a timely and effective manner.
Please note this is a full-time position based on a two-week rolling roster, which includes both weekdays and weekends between the hours of 9am and 7pm.
Purpose of the RoleThe Reception role will consult with the Director of Nursing and Administrator on a day-to-day basis and serve as a crucial point of contact for any administrative area concerning the Care Centre.
What does this role entail?- Greet and welcome visitors as soon as they arrive at Kilbarry Care Centre.
- Answer, screen, and forward incoming phone calls
- Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g., pens, forms, and brochures)
- Provide basic and accurate information in-person and via phone/email.
- Receive, sort, and distribute daily post/deliveries.
- Order front office supplies and keep inventory of stock.
- Perform other clerical duties such as filing, photocopying, transcribing, and faxing.
- Support with updating the policies and procedures of the Care Centre.
- Assist with the visitor booking system.
- Assist with Care Centre viewings and Enquiry Management on EpicCare.
- Assist with TMS system uploading of rosters.
- Assist with Candidate Management System (recruitment)
- Assist with ‘3’ Text Communications system.
- Accept Payments via card terminal and issue receipts to residents / relatives when required.
What are the qualifications/skills needed?- Proven experience as a Receptionist, Front of House or similar role.
- Proficiency in Microsoft Office Suite.
- Hands-on experience with office equipment (e.g., printers, scanners).
- Professional attitude with outstanding attention to detail.
- Ability to deal with several tasks concurrently and deal with changing priorities.
- Ability to be resourceful and proactive when issues arise.
- Multitasking and time-management skills, with the ability to prioritize tasks.
- Customer service attitude.
- Fluent in both oral and written English.
- Relevant qualification in Office Administration is a plus.
