Facilities Supervisor

The National Gallery of Ireland (Gallery) is the country’s most popular free visitor attraction housing the nation’s collection of European and Irish art from about 1300 to the present day, and an extensive Library & Archive. Nominated for European Museum of the Year (2018), and winner of the Royal Institute of the Architects of Ireland Culture-Public Building award (2018), the Gallery continues its mission of serving our visitors in their enrichment and enjoyment of visual art. Entry to the collection is free for all to enjoy, learn and be inspired.

The Gallery wishes to recruit a Facilities Supervisor to coordinate the frontline facilities team and to ensure operational requirements are delivered to a high standard. Reporting to the Facilities Manager (or nominated deputy), the Facilities Supervisor will:
  • Supervise the frontline facilities team in the Gallery
  • Adhere to and implement the Facilities and Safety Management policy and procedures 
  • Coordinate contractors working on site. This includes overseeing contractors who install, inspect, repair, and maintain building systems, including mechanical, electrical, plumbing, HVAC, safety, and waste management
  • Maintain the Fire Register
  • Ensure the buildings, plant and equipment are inspected and maintenance issues are promptly actioned and reported to management
  • Maintain a safe and healthy work environment
  • Report all incidents to Operations management
  • Motivate staff and support team development 
  • Assign duties to the team and ensure that the roster is fully resourced
  • Ensure that the daily office administration for the team is complete
  • Provide team briefings and training to staff
  • Ensure staff are informed of and have access to information related to Operations
  • Adhere to and administer all of the Gallery’s policies and procedures
  • Ensure that the team provides an excellent service to visitors 
  • Conduct other duties as required
  • Manage the Planned Preventative Maintenance (PPM) schedule
  • Portable Appliance Testing (PAT) testing
  • Assist the Facilities Manager, as required
The successful candidate will have:
  • A Facilities Management qualification at level 6 / 7 of the National Framework of Qualifications (or equivalent)
  • Previous work experience in a Facilities Management role, with a track record of dealing with multiple disciplines, ensuring functionality, comfort, safety and efficiency. Some experience at supervisor level is required.
  • Knowledge of Mechanical and Electrical Systems, and best practice Fire & Safety policies and procedures
  • Good supervision, team building and leadership skills, with a willingness to motivate and develop staff
  • An ability to build and maintain strong working relationships with internal and external stakeholders
  • Sound problem solving, judgement and decision making skills
  • Good verbal and written communication skills
  • Good organisation, administration and time management skills, with an ability to prioritise tasks to meet deadlines
  • Good IT skills (Microsoft Office)
  • A willingness to work independently and on own initiative
  • A positive, flexible and proactive attitude to work
  • An understanding of the Time Management System (TMS) is desirable
  • A full clean driving licence

Grade and Salary: Salary is in accordance with point 1 of the NGI Senior Attendant (PPC) pay scale, currently €706.61 (gross) per week.

Duration: Permanent, Full-Time

Working hours: Full time, 5 days a week - 37 hours per week (net of breaks) onsite and/or remotely. 
The successful candidate must be willing to work evenings and weekends, as required.

Gallery work environment: The Facilities Supervisor is required to work predominately indoors. Nonetheless, on occasion outdoor and offsite work is required.
