Office Administrator - York, 5 days a week in the office

We are seeking an Receptionist to join our York Office to provide support to the Admin team and to be responsibile for all reception duties. 

Key responsibilities:
Receptionist duties, including:
  •  
  • Answer all calls efficiently and courteously.  Take accurate messages and pass these on as quickly as possible.
  • Be an ambassador for the company at all times i.e. smart appearance, image, and confidentiality whilst greeting all guests in a friendly, professional and courteous way, ensure signing in procedures are adhered to.
  • Maintain the reception/visitors area ensuring that it is tidy at all times, monitor parking/advise if vehicles need to be moved.
  • Monitor the security i.e. alarms, keys and access to the building. Responsible for the fob system for the office including allocating fobs to new starters.
  • Deal with the incoming and outgoing post, and ensure it distributed correctly, quickly and in accordance with QA procedures.
  • Meeting room management and meeting hospitality.
  • Handle deliveries and keep organised delivery notes.

Administrator Duties (support when required)
  •  
  • Responsible for site office set up and ongoing forms: filing system, spreadsheets, sign in sheets, project-specific forms, etc.
  • Complete Daily support tasks and duties, including office checks, ensuing the kitchens are kept tidy, putting orders away etc.
  • Assist with the collection and update of travel plans to sites.
  • Weekly collection of movements for the staff in the office and allocating desks accordingly.
  • Flexibility of handling other administrative needs of the project team
  • Completing the Health and Safety checks for the office including maintaining and refilling the first aid boxes.
  • First Aider, Fire Marshall and DSE trained.
  • Responsible for stationery ordering and all office consumables stock checks
  • Assist Support team in any ad hoc duties, ranging from arranging meeting rooms off site to assisting with tracking attendees for events.
